New changes for Meeting Room Use

ID Required for A/V Equipment
Starting in late November, changes will be made to the audio visual system in our Walldorf and Dunning Rooms. These changes will require use of a computer dongle (a small device that inserts into the USB-C port of your laptop.) Due to the cost of this device and the high risk of it being accidentally taken, the library will require users to leave an ID at the Circulation desk. At the end of your event, simply return the dongle and we will return your ID. As always, our tech team will be available to help with A/V system setup. Look for this requirement to begin by December 1, 2024.

Library Cards and Liability Waivers To Be Required in 2025
Beginning with spring events, additional requirements related to meeting room liability will be introduced. One of these requirements is that meeting room users will need to have a library card on file. If you don’t have a PDL card yet, now is a great time to apply! If you’re not a Plymouth resident, you can use a library card from your home TLN-affiliated library and have it entered into our system. If your home library is not a part of the TLN consortium, your Plymouth resident sponsor for your event will need to assume liability and provide their card number. Full details on these changes will be communicated prior to the January 15 opening for spring room requests, but we encourage you to get your library card in our system early.

Important Reminders for Meeting Room Use
The Library operates with a limited custodial staff. Considering this, and as a reminder, here are key guidelines for meeting room use to ensure a smooth and enjoyable experience for all:
* Groups requesting to use a room must not be for-profit entities.
* An adult Plymouth resident must attend as sponsor for all meetings.
* Meetings cannot involve any exchange of monies including admission fees, product/service sales or contributions made/pledged.
* Groups are responsible for setting up the tables and chairs to your specifications. If users are physically unable to do this, please indicate this in advance in the Special Assistance section of the meeting room request.
* Users must clean up after themselves. A vacuum cleaner and spray cleaner are available in each room’s closet or kitchenette. If you plan to use glue, markers or other tools that may damage tables, please bring table covers.
* Meeting room use is limited to the hours the library is open, and rooms must be cleared and clean 15 minutes before closing.
* Reservations are limited to one per group per calendar week and no more than two per month (with minimal exceptions during non-peak hours, at the Library’s discretion.)
* Any groups advertising events held at the library should include the text “This is not a library-sponsored event.”
